Home-office collection: how employee care strengthens customer relationships. What does a modern home office include? Solutions for remote work in self-isolation
What is Home Office Job
Speaking in Russian, this is a full-fledged work from home, moreover, the concept includes ordinary office work. Car service in the garage near the house or weaving baskets, to call the Office Room does not turn out to be. In my opinion, temporary earnings or freelancing do not fall under this concept either.
Many large companies, usually foreign ones, have long been using the practice of transferring their employees to remote work. Ours, too, have been catching up lately. Moreover, time and technology dictate their own rules. The development of the Internet and computer technology is pushing towards the fact that more and more professions do not require a person's presence in the workplace. Documents can also be exchanged via the Internet, and the authenticity is confirmed by a digital signature. There are many services that allow you to organize a virtual office “in the clouds”.
according to SanPiN
Workplace – a section of the premises where labor activity is carried out during a work shift or part of it. A workplace can be several sections of a production facility. If these areas are located throughout the room, then the entire area of the room is considered a workplace.
It should be borne in mind that if the specific workplace of this employee is not specified in the employment contract concluded with the employee, or the local regulatory act of the employer (order, schedule, etc.), then in the event of a dispute on the issue of whether where the employee is obliged to be in the performance of his labor duties, it should be assumed that, by virtue of part six of Article 209 of the Code, the workplace is the place where the employee must be or where he needs to arrive in connection with his work and which is directly or indirectly under control employer.
Advantages and Disadvantages of Working from Home
Like regular work, teleworking in home office mode has its advantages and disadvantages, both for the employee and for the employer:
Differences between workplace and work area
The working area is the space where the place of permanent or temporary (non-permanent) stay of employees is located.
Workplace – all places where an employee must be or where he needs to move in connection with his work and which is directly or indirectly under the control of the employer.
For the most part, workplaces are fixed physical locations with varying working conditions, such as office buildings, schools and hospitals, where employees gather to work under one roof.
We are always ready to help with a comprehensive sanitary and hygienic assessment of working conditions in terms of the hazard and hazard of working environment factors, the severity and intensity of the labor process at enterprises.
Depending on the nature of the work performed and the characteristics of the production process, the workplace can be either permanent or non-permanent.
A permanent workplace is a place where a worker spends most of his working time. If work is carried out in different points of the working area, the entire working area is considered a permanent workplace.
Permanent workplaces are located on a fixed production area and are equipped with stationary means of labor: machines, mechanisms, tools. Items of labor are delivered directly to the workplace.
Our specialists provide a number of labor protection services, including certification of the sanitary and technical condition of labor conditions and labor protection and an assessment of occupational risks.
Non-permanent (non-stationary) workplaces are places with geographically changing work areas. The employee does not have a fixed workplace, but only a delineated space.
Differences between workspace and workspace
The workplace is the physical location where you go to work, such as a building, workshop, your office, your desk, and it embodies the employee experience and organizational culture.
In the workplace, the employee is able to do his job, however, this is not the place where the actual work is done, because this is called the work space.
In contrast, the workspace is the modern equivalent of a workstation.
The user can enter the workspace while traveling, working from home, or in a flexible workplace with no permanent jobs. By expanding and improving the workspace, organizations can influence change at the heart of where work happens.
“The workplace is where you go to work; the workspace is where you do your work. “
You can turn any place you work, such as at work, on the train or on the grass in the park, into your personal workspace.
Basically, workplaces are the supporting infrastructure that fuels work, whereas workspaces are where work happens.
Workplace, work area and workspace are similar, but at the same time different concepts. Our specialists provide a range of labor protection services for enterprises of various industries.

Create healthy competition
Office work and the constant presence of colleagues nearby are incentives for the growth of healthy competition among professionals. But it is very difficult to recreate it if all employees work from home. In order to provide a constant competitive drive, to inspire employees to be more efficient than planned, we decided to launch several contests. We award the winners with additional prizes.
98.2% of 55 surveyed employees answered that they learn about changes in work, legislation and new scripts quickly and in detail.
In order to take into account the opinion and needs of each employee, as well as to see work processes from different angles, we launched a suggestion box – a channel with a specific application form.
We proposed several directions, for example, “Development of the personnel of the Collection Department” or “Best operational solutions”, then the employee describes the idea in the format of a simple solved case. If the commission decides that it is relevant and implemented, the specialist receives an additional monetary bonus.
Also, our guys are motivated by the constant development of Hard and Soft Skills. A full-time trainer interacts with specialists on a daily basis; he conducts various trainings and master classes online.
General classification of jobs
There is a fairly comprehensive classification of types of jobs. At the same time, the characteristics of various industries can complement it.
Thus, the classification of workplaces is based on various characteristics inherent in each individual workspace, in particular:
- The nature of production activities and the repeatability of standard technological operations. It is understood that jobs will differ depending on single, batch or large scale production.
- The nature of the focus of the activity. Jobs are classified based on the scope of the enterprise.
- The constancy of the location of the workplace. This means either a stable, that is, stationary space where the employee works, or a mobile workplace. These signs have a significant impact on the requirements for the organization of each individual workspace. For the purpose of equipping a permanent workplace, large-sized units are often used. In circumstances where the workplace is mobile, mobile and lightweight tools are sufficient to support it.
- The number of employees. So, jobs can be both private (for one person) and collective (for example, for a team).
- The number of units and apparatus that need regular maintenance. So, there are both single-station and multi-station jobs.
- The range of functions assigned to a specific position. It is understood that there are special jobs, for example, for specialized specialists or security workers.
- Specialties providing services. In particular, this includes the positions of an accountant, doctor, civil servant, etc.
- The area where the workplace is located. Workplaces in buildings or outdoors are assumed.
- The number of shifts. It is understood that shifts can change 1, 2, 3 or 4 times.
Sanitary and hygienic requirements for the organization of the workplace
Labor legislation imposes on the employer the obligation to provide jobs for subordinates, taking into account the labor protection requirements. That is, the manager must monitor the compliance of the conditions of workplaces, subject to the norms, in order to avoid the influence of harmful factors of production on people.
So, the company should be equipped with special rooms for eating, providing medical care, as well as a space for relaxation. That is, the employer forms first-aid posts, canteens, rest rooms.
To comply with sanitary and hygienic standards, it is required to control the following parameters :
- air temperature – should be from 22 to 24 degrees, if it is less than 10 degrees Celsius outside. If the outside temperature is more than 10 degrees, then in the office it should be kept at around 23 to 25 degrees. Based on SanPiN 2.2.4.3359/16 No. 81 of June 21, 2016, if the temperature requirement is not met, the working day can be reduced;
- safe work with computers. In particular, the room where the computer is located must be at least 4.5 square meters, while, if a picture tube monitor is installed, the area increases to 6 square meters. The room must be ventilated every hour. Detailed requirements for the width of the desktop, its height, etc., as well as the location of the employee while working at the computer, are given in SanPiN 2.2.2.2.4.1340 / 03 of 05/30/2003;
- illumination in the working room – should be from 300 to 500 lux;
- noise level – the maximum figure is 80 decibels.
On the basis of SanPiN 2.2.2.1332/03 dated 05/30/2003, the location of equipment intended for copying and printing is strictly prohibited in the basements.
Workplace safety requirements
Occupational safety at the enterprise is carried out by a specialized limbo subdivision, an authorized person, in particular, an occupational safety specialist. The manager must also obey the requirements of these employees.
The main areas of labor protection, the enhanced controlling of which allows to ensure the safety of employees' work activities, are:
Fire safety. It is meant to prevent the occurrence of fires by eliminating sources. If the fire could not be avoided, the work premises should be equipped with special fire extinguishers, alarms, etc .;- electrical safety. It is understood that the necessary equipment is available in the working areas, which ensures the safety of working with electric tools;
- special safety conditions that are characteristic of certain areas of production activity. For example, there are a number of requirements for the radiation safety of employees whose activities are related to the corresponding substances.
Organize a comfortable workplace
The first thing we encountered was the need to equip a comfortable workplace at home. Proper lighting, tilt angle above the monitor, landing height – quarantine should not cancel the requirements for the working conditions of our employees. We determined the norms that meet international standards for the organization of office space, assessed each employee personally and provided everything necessary: furniture, lighting, devices for additional convenience.
In addition, in order to diversify the process of settling and increase social activity, we launched a competition for the best “Remote Workplace”. Employees shared photos and videos via mail and Instagram. They showed creativity and attracted family and pets. We re-posted it all on our official account page. The most unusual works received prizes – organizers for the desktop.

Work from home and discipline
A very delicate issue is self-organization. You can buy the best equipment, kick everyone out of the house, but if there is no discipline, then there will be problems with remote work.
Beginners can be advised to start by making a definite, necessarily tough work schedule. Strictly adhere to it. Do not start early and do not linger, provide time for lunch. Nobody canceled a break of 10 minutes at the end of each hour either.
Some are disciplined by work clothes. Can't handle yourself, put on a suit and shoes (don't laugh). I, of course, didn't get it, but I used to change my home sweatpants for jeans; helped!
Of course, everything is individual, try to find your own compromise.
How to organize a home office
I will talk about how to organize a home office solely from my own practice. Several years ago I had to “train” myself because I had to work in the home office mode not on my own initiative, because of the circumstances. But I managed to organize my time in such a way that I eventually managed to work at 4 jobs and very soon I realized that only a very large salary can return me to a regular office.
Disadvantages of remote work for an employer:
- It is difficult to effectively control the workflow. You can organize meetings at a certain time, since modern group video communication systems allow. Require employees to send periodic reports. Fortunately, modern remote (virtual) office systems allow real-time monitoring of the work of employees.
- Possible communication interruptions. But it is possible to provide for backup connection channels, for example, via a cell phone.
- Remote recruitment of employees implies a lack of live communication. Skype solves this problem partially.
