Deadline. What is it in simple terms?
This term has become popular in society relatively recently. In simple terms, a deadline is the final deadline for completing an assignment or work.
Deadline as it is written
In English it is correct to write “deadline”, in Russian it is written “deadline”.
Views
The deadline is set at a certain number or time. For example, on the stock exchange you may be asked to send articles before 9 am on the 23rd.
Remote work is carried out on the Internet at a distance. The customer has his own schedule, he cannot wait for text, pictures or layouts indefinitely. The limited time frame motivates the person, helps to complete the entire project on time.
By the type of sanctions, the deadline is:
- Tough. For violation of the term, the employer dismisses the employee, deprives of the fee or bonus. No matter how interesting the project was, it was done at the wrong time, which means it is not needed.
- Soft. The customer can wait for the work if the freelancer has a force majeure. It is possible to agree on an extension without punishment.
Let's not row one size fits all. Orders can be one-time, permanent, large-scale or small.
I conventionally divide the terms into:
- Urgent
A maximum of 24 hours is given. You need to concentrate well, work hard to complete everything on time. Sometimes rushing degrades the quality of work.
- Phased
Submit part of the order for review and, after approval, accept the next one. Let's say you were given a list of brands of interior doors. Of course, you won't be able to write in a few hours, so you send 2-3 texts daily.
- Disposable
A webmaster went to the freelance exchange, he needs a few edited photos of cosmetics. He is not interested in a permanent employee. He creates one order and, after successful delivery, says goodbye to the remoter.
- Repeated
An option for permanent cooperation. For example, your client says you have to submit articles or upload content to your site every Tuesday before 9 p.m.
Re-deadline is easier. You get used to it, you can smoothly divide the work into pieces in order to be in time.
Heads of departments, managers often create conditional terms. They rush employees, but even if they do not have time, there is still time to complete the project, to remove errors.
Soft deadline
This kind of deadline is also called “soft deadline.” In fact, it doesn't seem to exist, you absolutely don’t worry about whether you will solve the problem on time or not. And even if you don’t solve it, nothing will change much., such a situation refers to secondary duties of an employee or an additional burden on him, for which he either does not receive remuneration, or has no motivation to perform, or for other reasons.
Hard (hard) deadline
This kind of deadline is also called “hard deadline”. This means that the presented time for completing the task is running out, and you must provide the result that you have for a given period of time. That is, even if you did not achieve the intended goal, you must show an intermediate result, and there, at the discretion of the management or your (if you are a leader), the deadlines will be shifted, but, as a rule, not for long, or the final goal will be adjusted.
Phased deadline
This type of deadline is one of the most “convenient”. One large project is divided into several stages of delivery with predetermined deadlines, which is very convenient when working with large volumes of tasks.
Recurring deadline
This type of deadline is regular and repeated after a certain period of time. This type is often found in periodicals and reporting organizations.
One-time deadline
One of the most common and simplest types of deadlines. A task is set for the employees and the deadline for its implementation is agreed in advance. But there are risks as well. It may happen that the customer's requirements will not be fulfilled, but this fact can already be verified only after the project has been delivered.
Where did this word come from?
The word “deadline” has American roots, and for a long time its interpretation had a completely different character.
During the American Civil War, which lasted from 1861 to 1865, the deadline was a special line that was drawn around the prison walls or inside the prison itself. The line was nicknamed “dead”, because the prisoners had no right to cross it, and those who dared to do this, that hour lost their life and was shot. Any attempt to cross the ill-fated line was regarded by the jailers as an escape.
The war ended in 1865, but the word “deadline” has become an integral part of everyday life and has become a household name. Naturally, all the horrors of the bloody conflict have sunk into the past, and the word has become synonymous with the phrase “extreme line”, and ceased to be terrifying. The word gained active distribution in a new interpretation, thanks to American IT specialists, who began to use it, characterizing the deadlines for the execution of the team's work. Gradually, the concept of “deadline” entered the lexicon of office workers, programmers, students, freelancers, etc.
In simple terms, a deadline means a fixed time for the delivery of work. The deadline is often tied to a specific date and time. For example, an abstract must be submitted on Monday before one o'clock and not a minute later. You could often hear truly Russian phrases that are alien to foreigners: “deadlines are running out”, “emergency work”, “time is running out”, etc.
Violation of the deadline for the delivery of the work carries negative consequences, and is associated with some risks and even hardships, depending on the importance of the work. Sometimes the consequences can be minor, but sometimes they can turn into a real disaster.
But one should not assume that the deadline, as a phenomenon, exists exclusively in the ranks of workers and students. Deadlines are ubiquitous in everyday life. Imagine that you need to make a payment on a loan strictly before January 13, or pay for a purchase on the Internet in the evening, pay for a booked train or theater ticket.
In addition, the deadline has become one of the favorite tricks of businessmen. In shopping malls and supermarkets, every now and then you can find promotional offers advertisements, where it is indicated that the promotions expire on a certain day. This is the so-called “marketing deadline”, which encourages the customer to buy, and tight deadlines only increase his desire to make a purchase faster.
Urgent deadline
Often, such a deadline can be very labor intensive in a short period of time, thus provoking a stressful situation. According to the interpretation of psychologists, an urgent deadline often occurs as a result of errors in the allocation of time.
What is a redline
Redline is rarely seen in freelancing. But office clerks, students with him on “you”. This is a project and a deadline divided into several parts.
Let's say the total period is 20 days. But each subsection of the article, illustrations must be submitted once every 5 days. As soon as your boss approves of what you have done, you continue.
How is it useful? Forces to delve into time management, not to grab the order at the last moment.
The meaning of the term, its origin and translation
So, deadline – what does it mean? The deadline is the deadline (deadline) for the completion of the task. It has been proven that those companies that set deadlines are more productive and make much more financial profit compared to companies where no time frames are set.
If we talk about what this is a deadline, that is, what is the meaning of the word, then this term is of English origin. Literally the term is translated as “dead line / edge” (dead + line).
So, if we talk about sanctions, the deadline can be:
- Tough. For disruption of the project deadline, the employer may fire an unscrupulous employee.
- Soft. The employer may well extend the deadline for the completion of the work if the employee has unforeseen circumstances that interfere with the completion of the task within the outlined time frame.
However, you should not rely only on this conditional classification. Deadline is a versatile concept, and only the employer can explain the specific requirements for the performers.
Dark history of the term
The gloomy word “deadline”, which is increasingly heard in Russian, came to us from American English. Literally translated into Russian, deadline is a dead line. The etymology leads us to American prison camps (in some versions to prisoner of war camps), where the guards drew a line along the fence, beyond which the prisoner was shot on the spot.
In general, a good deed cannot be called a deadline. The firing lines on the borders of American prisons are no longer drawn, but the concept has taken root and spread throughout the world. Only now has the meaning of the word deadline become a metaphor for the deadline for a job.
The blame are the American IT specialists who began to use this word in their slang, because it is in their work that meeting deadlines by each member of the team means a lot.
How to fit into a deadline: 3 effective ways
The ability to meet deadlines, plan time and take responsibility for their work is a quality that can become a huge advantage over the gray mass of irresponsible colleagues. If punctuality is not your middle name, but you want to develop this useful skill in yourself, then there are several working ways to learn how to fit into deadlines, all of them are formulated in one way or another in the teaching of time management.
Time management is a time management system. A lot of books and articles have been written on this topic, many chips, life hacks and tools for competent planning have been developed. The system works both in the professional and educational spheres of life, and in the organization of everyday life. There is a whole area called Flylady (Flying Housewives), which helps to organize and organize housekeeping.
Among the really working methods of dealing with disrupted deadlines, we will single out three main ones.
Method 1. Ranking tasks
The basis of time management lies in setting realistic, achievable goals, which are broken down into smaller – Smart tasks, limited in time. In essence, this is a phased deadline. Sometimes the task seems completely overwhelming, too difficult, in this case you need to remember the famous words of Lao Tzu: “The path of a thousand miles begins with the first step” – and begin to act, dividing the process into small feasible segments.
Time management implies the mandatory use of a variety of schedulers. It can be an ordinary notebook, a diary, planning, an application on a smartphone – any tool convenient for you. Nowadays, countless such assistants have appeared, both in paper form and in electronic form.
In order not to miss the deadline, you need to learn how to rank tasks. There are usually several types of tasks in any person's schedule. Even if you write them down in a column and gradually begin to cross out the completed ones, it is not a fact that you will effectively allocate your time and energy.
One of the convenient methods is called the “Eisenhower Matrix” in honor of the President of the United States who used it in his work. He divided all arising tasks into 4 categories, visually the matrix looks like this.
| Criteria | URGENTLY | IMMEDIATELY |
|---|---|---|
| IMPORTANT | BUT |
Projects with an approached deadline.
Force majeure.
Resolving crisis situations.
Ideally, this square is left blank. | B
Planning new projects.
Measured work on current tasks.
Making the right connections.
The main square of current affairs, which need to be given time and attention, otherwise they risk going to square A. |
| IMPORTANT | С
Urgent cases that do not work on solving basic tasks and take time. Such tasks should be delegated whenever possible, i.e. delegate to someone else. | D
Optional tasks, entertainment, recreation, and other excesses.
Such cases can be easily postponed if many points have accumulated in other squares, but they cannot be ignored either. |
Method 2. From complex to simple
If in evolution everything develops according to the principle “from simple to complex”, then in the fight against burning deadlines everything should be the other way around. There is one tricky task to complete at the start of the day. It makes sense to start with problematic, unpleasant, or difficult tasks for two reasons.
- Firstly, the rest of the time the Domokles sword will not hang over you, so you will remove the internal psychological pressure, life will become easier and more fun.
- Secondly, this is the smartest way to take into account the possible risks. Since the task is complex, in the course of solving it, unforeseen difficulties may arise, for which you will have time to overcome.
An interesting approach to planning daily affairs of the Russian popularizer of the time management system Gleb Arkhangelsky. He introduces the term “frog” – a petty but disgusting thing that is best done in the morning. Arkhangelsky calls this “eat a frog for breakfast”, then it will not darken you all day.
Method 3. Redline
The postponement of the task for some time before the actual deadline is working reliably. This method is called redline.
The date of the redline depends on the scale of the submitted work. If this is a large and complex project, it is better to move the preliminary deadline significantly away from the real one, easier tasks can be moved closer to the hour X. Thus, you not only free yourself from a difficult stressful situation with burning deadlines and rush jobs, but also leave time for a high-quality check and elimination shortcomings of the work being handed over.
Summing up, we conclude that life is impossible without deadlines, they surround us everywhere. To feel comfortable, not to be late, not to miss the deadlines of projects, not to forget about important matters, you need to learn how to manage time. The deadline in work and in everyday life, with proper organization and planning, from a terrible firing line can turn into a convenient tool for controlling our main resource – time.
Where Deadline Is Commonly Used
The deadline can be applied to almost any area. If a person's work starts at 9 o'clock, then he needs to get out of the house in advance in order to catch the transport, safely get there and not be late. This is the working deadline for him. Or an example from construction. When an apartment is bought in a building under construction, the deadline for delivery is specified in the contract. And this is also a deadline that cannot be violated.
But most often the concept of a deadline is used in the following areas:
- Deadline in advertising. The most common marketing gimmick. To increase interest in a certain group of goods, a discount is made for a certain period. The last day is the deadline. If you buy later, the price will already be higher.
- Deadlines in legislation. They most often concern fines. Utility bills must be paid by the 10th, traffic fines in the first 14 days can be paid at a discount, the limitation period for a loan is 3 years.
- Deadline in journalism. This is a strict framework, for non-compliance with which the company will incur losses, and some employees may be fired. For example, the magazine comes out every week at 10 am on Monday. That is, the deadline for submission to the editor is conditionally Saturday. The print deadline is Sunday evening. And the deadline for the transfer to the kiosks is Monday morning.
- Deadline for contests. All competitions have a start and end date for the acceptance of works. This is a normal practice that provides an opportunity for everyone to participate and weed out those who do not want to make an effort. From school to professional competition, all competitions have clear deadlines.
- Freelance deadline. The most popular area for setting tight deadlines. When you need to make a project with the involvement of third-party employees, and the latter are set deadlines. If this is an official cooperation, then the terms of the violation of the deadline are prescribed in the contract. Most often, the party due to which the deadlines were missed pays a fine. And it will not always be a performer. Sometimes even the customer is forced to pay more because he does not provide the necessary information and artificially restricts the work.
What is the deadline today
IT specialists are very smart and interesting people. They created their own subculture: lifestyle, values, behavior, language. The half-forgotten word deadline has become firmly embedded in their lexicon and acquired a new meaning.
Deadline (from the English “deadline”) – this is the deadline for the task
It is interesting that the word acquired a meaning completely opposite to the original one. Previously, it meant a line that was forbidden to cross under threat of death. Now this is a milestone that must be overcome, by all means.
With the light hand of IT-shnikov, the word spread everywhere. Deadline is fundamental. It accompanies a person from the beginning of his life and accompanies him until his last days. A first grader hurrying to school with a heavy knapsack on his shoulders does not yet know that he has a small deadline – not to be late for class. Then there will be others: do your homework on time, attend classes in a circle, take part in the Olympiad, fully prepare for exams.
The young man will enter adulthood, and deadlines will surround him on all sides. The day will come when he takes his first job, and he will have to complete tasks within a limited time frame. One day he will meet the girl of his dreams and want to start a family.
The deadlines for confirming the seriousness of his intentions can be tough. Beautiful ladies prefer decisive men, and they do not like at all when their chosen ones begin to mumble something about the fact that they need to wait a little.
All human life is one large project, divided into thousands and tens of thousands of smaller tasks. Each person is a manager of his personal project called life. The value of human life is determined by achievements, results, the memory that everyone leaves behind.
In the 2003 film The Last Samurai, there is a short but very powerful closing dialogue between the Emperor of Japan and Captain Nathan Olgren about the fate of the protagonist who fell in mortal combat:
- Расскажите мне, как он умер. - Я расскажу вам, как он жил.
It's like that. As a person lives, he is appreciated. Responsibility and loyalty to one's word, even in small things, steadily build a positive reputation. They do not require much heroism, though, how you look.
“I myself serve madam. Every day at nine in the morning I have to go to my magistrate. I will not say that this is a feat, but in general there is something heroic in it! ” (“The same Munchausen”, 1979)
How to set deadlines correctly
There are 4 basic rules on how to set a deadline and complete an assignment on time:
- Make the task more urgent for yourself. In other words, move to an earlier date on your personal schedule.
- Set a personal deadline and focus entirely on solving the problem.
- Set achievable goals. Alternatively, break one large task into several subtasks and perform them in stages.
- Determine meaningfully deadlines, objectively assess opportunities and set a deadline with a margin of 20-30%.
A deadline is a great way to improve productivity and a good way to avoid a crunch.
Real life situations with a deadline
If you have not yet worked in an office or remotely, it is difficult for you to imagine what a deadline means in reality.
When I began to study the topic in more detail and looked around me, I noticed that he was everywhere.
“Bring the essay about Vasnetsov's painting to me for the next lesson on Friday. Latecomers will receive 2 and a diary entry, “- already from school we are being prepared for a tough time frame.
“Bring the tests before the 21st to the office no. 320” – even when registered with a doctor, we are faced with tasks that are limited in time.
Here's a typical conversation between a content manager and a copywriter in the office:
– Natasha, do you remember that you need to make 5 articles before April 28.
– Can't you do it later? I still need to make an edit on the SEO.
– You remember that on the 28th we hand over the reports, and then we have a corporate, weekend.
– Eh, again you have to take work home.
When someone is assigned an operation, that is also a deadline. After all, before that, a person must undergo examination, consultation with several doctors.
Remember, the deadline was not invented to intimidate or punish us. This is the core of the discipline.
Psychology and the deadline
The deadline changes the psychological state, the activity of the brain.
As time management author Timothy Ferris wrote: “Deadline gives rise to Parkinson's law. The less time per task, the more productive the employee becomes. “
The output can be used for:
- completion of the production plan on time,
- stimulation of labor activity,
- correct distribution of working time.
Do you think Parkinson's law is needed only for remote workers and office workers? You are wrong. Schoolchildren, students, businessmen – it will also come in handy.
Types of work with limited time frames
Often, customers or managers set a project deadline with a margin, taking into account force majeure and other complications in the process of work, but sometimes the deadline can be completely unrealistic, this leads to marriage due to haste, hassle and other troubles. According to the time allocated for the completion of the task and the nature of the work, deadlines can be conditionally divided into several groups.
- Urgent. This group includes customers who like to say that they “should have been yesterday.” They themselves do not know how to plan their time and do not allow others to work in peace. Of course, sometimes urgent projects are justified and do not depend on the incompetence of the customer or manager. Haste and inadequately tight deadlines seriously harm the quality of work. There are practically no exceptions to this rule.
- Disposable. There is a task, there is an adequate deadline for its implementation. The risk of this type of work is that the project is delivered in its entirety at the designated time, if mistakes are made or the result is not good at all, then you and the customer will find out about it too late. There may be no time for correction and revision.
- Recurring. The most comfortable conditions for both parties. The contractor, with a certain frequency, performs the agreed amount of work by a specific date.
- Phased. Such an organization of work is convenient for large, cumbersome projects that are divided into several stages. In this case, the “rush action” in the work of the performers is minimized, and there is an opportunity for an intermediate check, which has a positive effect on the quality of the result.
How to properly set deadlines for yourself and your subordinates
Setting deadlines correctly is the best way to control both your own work and the work of your subordinates. If you set the deadlines correctly, it will not only be easier to work, but employees will stop failing, and if they have a force majeure, this will practically not affect the team. To do this, you need to follow 5 basic rules.
Rule # 1. Long term deadlines don't work. A long period (more than 7 days) gives an extra reason to procrastinate and think that it will be possible to complete the task later – tomorrow, or even better – the day after tomorrow. Or even on the weekend, when there will be more free time.
This point is most clearly confirmed by the students' term papers and theses. Usually a period of at least 2-3 months is given. During this time, only the most responsible approach the teachers and write the work. The rest wait at least until the middle of the term, and most often until the last couple of weeks. The most risky generally write coursework on the night before delivery.
It is best to divide the task into several smaller ones. Several steps will appear that cannot be skipped. In the case of the same coursework, there are 2 months for the delivery of the work, 6 main sections + material. The easiest way is to set yourself deadlines for completing the coursework for 1 section per week and leave the last 2 for proofreading and searching for additional material.
Rule # 2. Avoid unrealistic deadlines. Everyone loves to challenge themselves. If a person wakes up and suddenly decides to make a million in a month, he will not succeed. Unless, of course, he had not earned 10 before, and then suddenly he simply decided to take a break. Unrealistic tasks with unrealistic deadlines are not motivating.
Let me give myself an example. From time to time, the thought comes to my mind that I need to start making good money. And unrealistic goals like “100,000 rubles per month” are sharply set, when in the previous case it was 40 at best, and most often it was even 25. And it seems like the first time the car is motivated, and then the thought comes “yes, that's all, why start”, and then a state of extreme dissatisfaction with oneself and a loss of motivation for at least a few days.
It is better to constantly set your goals a little higher than the previous ones. Then it will allow you to develop and work on yourself more and more. And over time, thanks to such goals, the previous results will seem ridiculous.
Rule # 3. Don't look for deadlines where they don't exist. Sometimes it's enough just to wait to get the result. But not everyone wants to work and wait for success. This is clearly manifested in those people who are trying to lose weight. Each of them had friends who wanted to weigh N kilograms by the summer. And we set ourselves tough deadlines. Although you just had to study, and the result would come by itself.
This approach is bad because a person is trying to influence what he cannot control. Yes, you can take care of yourself, but who said that it would be real – with such an organism to get such a result. It's much more efficient to just do it and track progress. And in order not to try to “lose weight by summer”, you need to deal with yourself constantly.
Rule # 4. We need to fix deadlines. Promises to yourself are cool, but it's best to write them down on paper. And it is advisable to stick it in a conspicuous place. This will be a kind of reminder that the “past self” wanted to do this, which means that it is really necessary.
I've tried this way to work. And he really helps. True, it's better not to make my mistakes and set small goals for the day. Fix them and then cross them out. 3-4 points, no more. And you need to start in the morning, and not wait for the right moment.
Rule # 5. You need to set deadlines only after exploring the possibilities. Freelancers often do this. A client comes, names the amount and approximate requirements. The freelancer will estimate what and how, calculate his income and already think where he will spend the money. And then it turns out that the requirements are actually more stringent, and they needed to ask for an amount 3-4 times more.
It is better to first familiarize yourself with all the conditions and figure out which deadline to set for yourself. If this is some kind of new, unusual work, then everything is much more complicated. It is unrealistic to predict something that you have never done. Therefore, such deadlines must be approached with caution, weighed everything and set a deadline one and a half times longer. You never know.
These 5 basic rules will help you learn how to work with deadlines. The main thing is to always observe them and teach employees so that they also follow this logic. It is enough for a “good” employee not to miss deadlines, and he will already be better than half of his competitors. And the manager needs nothing more: to set a task for the employee and periodically monitor what he did there and how.
What is it for
If the essence of the concept is now clear, then it's time to figure out, in fact, why a person needs a deadline, regardless of the scope of his activity. First of all, the deadline helps to coordinate actions, it disciplines, allows you to highlight the regular stages of the workflow.
In the event that several people are engaged in one project, the deadline helps to increase labor efficiency, adds organization and coherence within the team. He helps managers to plan the work process, and direct employees to specific actions. In addition, the deadline helps to efficiently allocate working time.
Well-defined deadlines for completing certain work are important not only for office workers, programmers and students. The deadline will become an excellent assistant in any area, since it contributes to the development of discipline in the employee, teaches them to complete all tasks on time, as well as to competently organize their own activities.
Surprisingly, it is the deadline that proves how much a person can do. Having completed the work by a specific date, we easily take on new things, receiving psychological satisfaction from the fact that the work is going according to plan. Productivity rises, and along with it, the mood and microclimate within the work collective noticeably improve.
According to Parkinson's Law, we spend exactly as much time on work as we initially allocated for its implementation. Accordingly, if you immediately identify specific deadlines, and reach them, you do not need to postpone old things, every now and then, returning to them.
Output
The concept of “deadline” has become a part of our daily life, and it teaches discipline, increasing the level of not only professional, but also personal qualities. Plan your own activities, complete the work on time, and you will be able to claim the title of a successful employee.
